Exceptions

Exceptions is the PMO's "what needs attention" list: every live project that breaks at least one rule, with each reason linked to the record it is about.

Who can use it

Everyone who can open the screen sees the projects they are allowed to see. A reason that needs a permission you do not hold (for example payment.view for invoice rules) is not shown or counted for you.

Live projects means active and not Completed or Cancelled.

Reading the page

• Tiles: one per rule with its count. The headline tiles (stage SLA, gates, invoices overdue, documents missing, over 100%) always show; others only when they have items. Click a tile to filter by that rule.
• Filters: portfolio, rule and project manager. They are remembered in your browser.
• Table (oldest first): Project, Project manager, Stage, Health, and Why it is here (severity, a link to the record, age in days and owner). Fifty projects per page.
• Each row shows the three most severe reasons per rule and "and N more" for the rest.

The rules

Rule	Fires when
Stage past its SLA	The current stage is open and past the SLA set in Settings. No SLA, never fires
Past planned finish	The project's end date is before today
Gates waiting	A stage has been waiting for PMO approval 5 or more days
Rejected stages	The current stage was returned
No manager	The project has no project manager
Milestones overdue	An open milestone's due date is before today
Tasks overdue	An open task's due date is before today (medium severity from 30 days late)
Delivered, not invoiced	A completed milestone that bills the client has no invoice date
Invoices overdue	An invoiced, unpaid milestone is past the project's payment terms
Documents missing	A mandatory document for the current stage is missing once the gate is at stake (submitted, rejected, or past its SLA)
Delivery notes unsigned	The stage requires signed delivery notes and a billed milestone has none signed
Over-allocated next month	A person is booked above 100% next calendar month
Risks overdue	An open risk's due date is before today
Critical, no response	An open Critical risk has no response type
Issues overdue	An open issue's due date is before today

"Due today" is never late. An open risk is one not yet Mitigated or Closed.

Export and print

• Export CSV gives one row per reason, including those the page collapses.
• Print (next to Export CSV) prints a clean copy of the page; choose Save as PDF in the print dialog to keep one.

Weekly digest

By default every Monday at 08:00 Gulf time (04:00 UTC), when the workspace's Weekly exception digest switch is on, people with gate.approve get an email, "what needs you this week": gates waiting, projects past baseline, overdue invoices, documents missing and people over 100%. A week with nothing is not mailed.
